Intake Coordinator/Administrative Assistant
Position Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Intake Coordinator/Administrative Assistant. This role will primarily involve managing client intake processes, phone coverage, administrative tasks, and providing support to ensure the smooth operation of our organization. Additionally, there is ample opportunity for professional growth into outreach and business development roles as the position evolves.
$20 - $23/hour
30 hours per week during training / Increase to full time after training
PTO after 90 Days
Hours are flexible between 10am - 6pm Mon - Fri, 10am - 2pm Sat
In-office position at an amazing co-working space downtown Denver with gym, yoga studio, coffee/snack bar and pool
Split remote/work from home potential after 90 days
Responsibilities:
Client Intake Management:
Monitor and followup on applications, Coordinate the intake process for new clients including; reviewing applications, part-time phone coverage or backup phone coverage support, conducting phone screenings, working with case managers and house managers to navigate client transitions, setting up client in new systems and maintaining accurate records. Ensure timely communication with clients and throughout the intake process to facilitate a seamless transition into our program.
Administrative Support:
Perform a variety of administrative tasks such as checking for accurate data in backend systems, UA reporting, managing calendars, organizing documents, and responding to inquiries via phone, email, and in-person. Assist in maintaining electronic and physical records, ensuring data integrity and compliance with organizational standards. House manager correspondence for updating records and obtaining missing information as well as UA reporting and scheduling.
House Manager Support:
Serve as a primary point of contact for administrative support for house managers, providing assistance and support as needed. Address inquiries, concerns, and requests promptly and professionally, fostering positive relationships and a supportive environment.
Outreach and Business Development (Potential Growth Opportunity - This position has the potential to grow into this role):
Collaborate with the leadership team to identify potential outreach opportunities and develop strategies to expand our client base.
Assist in building and nurturing relationships with community partners, treatment organizations, and referral sources to promote our services and programs.
Qualifications:
*Previous experience in administrative roles, preferably in healthcare, social services, or related fields.
*Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
*Excellent communication skills, both verbal and written, with a professional and empathetic demeanor.
*Proficiency in Google Workspace (Docs, Sheets, etc.), Microsoft Office and EMR systems.
*Demonstrated attention to detail and accuracy in data management and documentation.
*Ability to work independently as well as collaboratively in a team-oriented environment.
*Personal vehicle as means of transportation required
*Eagerness to learn and grow professionally, with a strong interest in pursuing opportunities for advancement into outreach and business development roles.
